  • Click here to go to the HISinOne homepage.
  • There are two different test servers: Test 1 and Test 2. You can try out everything on the test servers without affecting the production system. The test system contains the data from the previous week; the active test system alternates between Test 1 and Test 2 with each HISinOne version.
  • The Campus Management department has provided a Wiki with detailed instructions on HISinOne. If you cannot find an answer to your question in the Wiki, you can also contact the Campus Management support team.
  • A new version of HISinOne is usually rolled out twice a year, sometimes with substantial changes. The instructions provided here may therefore no longer be entirely accurate.

  • In HISinOne, select Show room schedule (if the link does not work: search in the ‘Search menu’ field or via the path Organisation > Facilities > Show room schedule).
  • Select a roommanagement group. The best way to do this is to enter ‘Math’ in the field; various options will then be suggested. For our physical seminar rooms and lecture theatres, select ‘Mathematik Seminarräume’ (this does not include ‘HS Rundbau’ and ‘HS Weismann-Haus’). Click Search.
  • In the results list, click Select All and then click Show room schedules.
  • If necessary, select the correct semester for the room schedules. You can switch between week choice, time period, term view and lecture period. In the top right-hand corner, under More display options, you can set which information is displayed.
  • Please note: Courses must be made public for them to appear in the room schedules. Room bookings that have not been made public can only be viewed if you are logged into HISinOne.

In HISinOne, you can book a room for a session of a course. Courses are usually already listed, but the sessions still need to be created.

  • If the session is part of a course and is intended for students (e.g. an additional question-and-answer session or an exam), you should create the session under the relevant course. Sessions that are part of a course but are not intended for students are best created elsewhere.
  • If it is a new course relevant to students or the public, please contact the degree programme coordinator so that they can first create the new course or select a suitable existing one.
  • For all other cases, there is the course ‘Veranstaltungen am Mathematischen Institut'. Each chair and every academic staff member in a permanent post has their own group within this, in which all persons assigned as ‘organisers’ can create events and submit room requests. Initially, the professors and the secretariats are assigned to these groups. Additional organisers (e.g. teaching assistants) can be assigned themselves (see the FAQ post ‘Adding organising lecturers’. If necessary, the degree programme co-ordination team can also help.

Since the 2021 summer semester, the room allocation for our seminar rooms (including BigBlueButton) has been fully integrated into HISinOne. This means that all teaching staff can see for themselves which rooms are available and can submit room requests via HISinOne or have their teaching assistants do so on their behalf.

  • In HISinOne, select Lehrperson from the ‘Change role’ menu in the top right-hand corner.
  • Go to the menu item My courses and exams (if the link does not work: search in the ‘Browse menu’ field or via the path Course organization > My Courses and exams).
  • If necessary, switch to the correct semester under ‘Choose term’.
  • Under ‘Actions’ for the relevant course, click on the pencil icon to edit.
  • Select the Dates and rooms tab.
  • If the session has not yet been created: click Create appointment. See instructions "How do I create an appointment for my event/course?" for this. If the appointment has already been created, click the door icon for the relevant session under ‘Actions’ and select the desired room on the new page:
    • If necessary, adjust the filter criteria or search for a specific room directly using the search field (Note: It is best to omit details regarding facilities; much of this information is not stored in HISinOne. For special rooms, uncheck the box next to ‘Suitable for course’).
    • For rooms at the Mathematical Institute, it is sometimes sufficient simply to set the room filter to ‘Available rooms at my institution’.
  • To book the desired room, either click on the door icon with the green arrow (if the icon appears) or tick the box and then click on Reserve / request rooms.
  • The room you have requested must then be confirmed by the room administration team. Once this has been done, the room is firmly booked.

  • In HISinOne, select Lehrperson from the "Change role" menu in the top right-hand corner.
  • Go to the menu item My courses and exams (if the link does not work: search in the "Search menu" field or via the path Course Organisation > My courses and exams).
  • If necessary, switch to the correct semester under "Choose term".
  • Under "Actions" for the relevant course, click on the pencil icon to edit.
  • Select the Dates and rooms tab.
  • If the appointment has not yet been created: click Create appointment.
  • In the new window that appears, make sure you select the correct group first, if there is a choice. Once the appointment has been created, the group cannot be changed! Then enter the rhythm, day of the week, time and, for one-off appointments, the date, and click Save.
  • Under "Actions" you can use the first icon, Edit basic data of event series, to correct the details and enter Set up and Follow up time if necessary. Click Save to finish.
  • If you click on the second note icon under "Actions", you can Edit appointment series notice. It is a good idea to specify here exactly what the appointment is for (e.g. exam or exercise tutorial). Please note: All shared events are public and can therefore be viewed across the university, so it is best not to enter anything like "Secret meeting with xy’" Click Save to finish. → Note: In the room timetable, you will only see the comments field if you change the default settings for room timetables accordingly in the top right-hand corner under More display options.
  • If you click on the person icon under "Actions", you can Edit instructing lecturer of appointment series – please enter the name of the person responsible for each session here. (Instructions for this can be found under "How can I add responsible lecturers in HISinOne?").
  • If you click on the magnifying glass icon Open course details at the top under More functions, you can see the course details. There you can see how the entry appears, for example, to students. It’s particularly important to check this for courses!

For each lecture with exercises, there are two entries in HISinOne: the lecture and the exercise tutorial. The programme coordinator creates the entry for each event, specifically:

  • the lecture with the lecturer as the responsible instructor, the teaching assistant (if known) as the responsible instructor, and the known lecture times and rooms. Normally, no action is required here; dates for the exam and resit exam can be entered here during the semester. (Please also inform the examination office and the Dean of Studies.)
  • the exercise tutorial: usually one tutorial group with the lecturer and the teaching assistant (if known) as the responsible instructors, and a separate group, which is only for managing teaching load, with the teaching assistant (as soon as they are known) as the responsible instructor. Here, one of the responsible individuals must create the different exercise groups, enter the dates, and book the rooms.
  • Q&A sessions, etc., can also be created for the exercise tutorial.

Additional instructors can be assigned individually (both for lectures and exercise tutorials). See here.

If there are multiple tutorial groups, HISinOne can also be used to distribute students among the tutorials; see "How do I distribute the students of a lecture among the individual tutorial groups?".

Create tutorial groups and schedules:

  1. Log in to HISinOne and select the Lehrperson role in the top right-hand corner. (If you do not (or no longer) have this role, please contact Markus Junker!)
  2. Go to the menu item My courses and exams (if the link does not work, use the search function in the "Browse menu" field or navigate via the path Course Organisation > My courses and exams).
  3. If necessary, switch to the correct semester and click on the pencil icon under “Actions” to edit the relevant course.
  4. If there is more than one group and additional groups need to be created: Select the Semester-dependent data tab.
Normally, there is a group labelled “ - ” with the text “XY: Tutorium zu Vorlesung und Übung”. Please do not change this group; it is important for teaching load calculation at the end of the semester. The booking type here should be set to “blocked event”.
There is also usually a group labelled “1st group” with the text “XY: Exercise tutorial”. This group can be copied if necessary: to do so, click on Copy group(s).
In the new window that appears, click on one of the existing groups, then click on the Next button on the right. On page 2, select the number of new groups to be created, tick all three boxes under "Copy options" and click on Create new groups at the bottom. If no group with the text "XY: Exercise tutorial" exists, it must be created via the button Create new course (group) for this term or copied from a previous semester.
  5. Important:
    • All newly created groups must be explicitly released so that they appear in the course catalogue and the room timetable. To do this, the group’s editing status must be set to “released”, which is done using the release status released (visible). This can be set either for an individual group under Edit basic data or for all groups under Edit release state (visibility) for all groups).
    • If the immediate enrolment procedure has been selected for allocating students to tutorial groups and there is more than one tutorial group, you must enter the “Maximum attendee” under Edit basic data.
  6. Select the Dates and rooms tab and click on Create appointment. In the new window that appears, first select the relevant group for each exercise tutorial session (if there are several), then enter the day of the week and time, and click Save. Once saved, the group assignment cannot be changed; in that case, the session must be deleted and recreated with the correct group!
  7. Click on the first icon Edit basic data of event series to correct the details and enter preparation and follow-up time. Click Save to finish.
  8. Click on the door icon to Reserve / request rooms; see "How can I book a room for my event/course?". for instructions.
  9. In the top right-hand corner, click on the the magnifying glass icon to open course details. There you can see how the entry appears in HISinOne – in other words, how it is displayed to students in particular. Please check that everything is correct and clear to students!

🔗

(Regarding terminology: "Belegung" refers to the declaration of intent to participate in a course submitted in HISinOne, as opposed to "Anmeldung" for an exam or "Registrierung" for coursework (Studienleistung).)

Various Procedures:

There are two registration procedures used at the institute (neither is set by default!):

  • Immediate Admission: first come, first served within the limits of available places
  • 3 Options: Students can submit three preferences; allocation must be done manually. For large lectures, it has proven practical to use "Sofortzulassung (Immediate Admission)" but not to fill the maximum number of places in order to be able to allocate special cases manually.

As a lecturer (or as the instructor assigned to the course, which teaching assistants should also have), you can assign the procedure yourself. To do this:

  1. Log in to HISinOne and select the role "Lehrperson" in the upper right corner.
  2. Access the menu item "My Courses and Exams" (via the path "Course Organization > My Courses and Exams").
  3. If necessary, switch to the correct semester and click the pencil icon next to the correct course.
  4. In the course editing settings, go to the "Periods of enrollment / registration " tab.
  5. Then click "Assign period group from own institution or higher-level (e.g., faculty)."
  6. Then check the box for either "07LE23ZG-3Optionen" or "07LE23ZG-Sofortzulassung" and, if necessary, uncheck "07LE23ZG-ohne_Belegung." Save your changes by clicking ✓ Update Assignments.

Furthermore, in the case of "Sofortzulassung":

7. Select the "Semester-dependent data" tab.
8. You can enter the maximum number of participants (minimum 1). For groups that should not be filled, you must select "blocked event" as the enrollment type.
9. You can also manually assign students to a group after the deadline or beyond the maximum number. Instructions for this can be found in the Campus Management Department Wiki.

Furthermore, in the case of "3 Options":

7. After the deadline, you must manually assign students. Instructions for this can be found in the Campus Management Department Wiki. This procedure is therefore more suitable for medium-sized events.
8. You can also manually assign students and change group assignments after the deadline.

Further information about the room booking process via HISinOne can be found in the Campus Management Department Wiki under Instructions for Staff.

Only those with the role "Prüfer*in ..." in HISinOne and who are listed as the examiner for the assessment, or those with the role "Leistungsverbuchung ..." in HISinOne and the booking rights for the listed examiner, can record assessments.

Markus Junker grants booking rights after receiving written consent from the examiner (email is sufficient).

For recording results:

  1. Log in to HISinOne and choose the role "Prüfer*in* or the role "Leistungsverbuchung" (white window in the upper right corner)
  2. Select the menu item "My courses and exams"
  3. Then click on "Exams / Studienleistungen" or "Exams / Studienleistung (substitute)"
  4. If necessary, change the semester to the correct one.
  5. Find the desired assessment and click on the "list with pen" icon on the right to "enter evaluations"
  6. Enter "BE" (bestanden (pass)) or "NB" (nicht bestanden (fail)) for coursework (Studienleistungen) and click on save
  7. For exam results (Prüfungsleistungen), enter the grade (1,0 - 1,3 - 1,7 - ... - 4,0 - 5,0 -) or "NE" (nicht erschienen (did not attend)) and if possible, click "vorläufig freigeben (provisionally release)", otherwise "Eingabe abschließen (complete entry)". Only then can students view their results.
With "vorläufig freigeben" (this doesn't always work), students see the result in their HISinOne account, but it doesn't yet appear on the transcript, isn't processed internally, and can still be changed by the examiner.
With "Eingabe abschließen", the assessment continues to be processed, appears on the transcript, but can then only be changed by the examination office, or the examination office can reactivate the lists.
  8. If individual assessments are delayed for a longer period, you can enter "NV" (not yet available) and submit the result to the examination office as soon as it is available.

After final submission of exam results, please inform the examination office so that the necessary notifications can be sent and registrations for re-examinations can be processed!

If your assistant or secretary is to record services for you in HISinOne, you must set up a corresponding substitution arrangement in HISinOne. Proceed as follows:

  • Log in to HISinOne and select the role you wish to be represented in: "Lehrperson" or "Prüfer:in". (If you have a role for multiple organisational units, this is irrelevant; the substitution rule applies to all organisational units simultaneously.)
  • Under Service → Personal Settings → Manage Own Substitution Rules, you can create substitution rules and view and edit existing ones.
  • To create a new rule, first click on → Create Substitution Rule, then search for your employee in the newly displayed input form and create the substitution accordingly. (Note: The start date must not be in the past.)

Responsible instructors can, for example, create new dates and book rooms for the course, send emails to participants, etc.

  1. Log in to HISinOne and select the role "Lehrperson" in the upper right corner.
  2. Go to the menu item "Course Organization → My Courses and Exams".
  3. If necessary, switch to the correct semester and click on the edit icon for the correct course.
  4. Select the "Semester-dependent data" tab and click on the user icon .
  5. A window will appear with a list of selectable instructors from the Mathematical Institute. Click the plus symbol to the right of the desired person.
  6. People missing from the list may not have the necessary role of Lehrperson (in which case please contact Markus Junker or Claudia Zier) or may not belong to the Mathematical Institute (in which case search for the person in the search field in the upper right corner).

🔗

The personnel administrators for the Mathematical Institute are Claudia Zier and Markus Junker; they can extend the roles of Lehrperson Mathematisches Institut and Prüfer:in Mathematisches Institut as needed. These roles are normally assigned only for the duration of the contract. Particularly if a contract was extended at short notice, the roles may have already expired.

Staff roles are assigned by the Human Resources Department.

HISinOne

  • This system manages all services that all students can provide.
  • Rooms can be booked here; see [link/reference].
  • Teaching loads are displayed here.

ILIAS * Individual pages for courses can be created here, where materials will then be made available. Self-tests or a student forum can also be implemented here.

It is important to do this from HISinOne so that the list of participants is automatically exported directly from there. Students who registered via HISinOne will see the corresponding ILIAS page as soon as it goes live.

To ensure that participants only come from HISinOne, please select "No self-enrollment." Edit the ILIAS homepage accordingly. Here you can edit the title and add the course description. These can be found in the current Annotated Course Catalogue. Additionally, you can add further tools here, such as:

  • a Big Blue Button room where students can exchange ideas,
  • a forum for asking questions,
  • a folder for quizzes,
  • an exercise folder where students can upload their solutions,
  • a folder for tests. In the test folder, you can provide feedback on the quizzes; this can happen automatically or upon request. Under the feedback options, you can select whether the feedback should include the points achieved, the best possible answer, etc. It is also possible to select all four feedback options.

The test settings cannot be changed once students have started the test.

To import items, such as folders from previous semesters, from other ILIAS pages, 1. first go to the folder you want to export. 2. Then click on "Export" and "Create Export File" (XML). 3. Select everything under "Create New Export File" (XML). 4. A new export file should now appear; this should be a .zip file. Download and save it. 5. On the new ILIAS page, select "Import Folder." Select the zip file you imported earlier. 6. In the settings, select "No Automatic Enrollment" (students who registered via HISinOne will be automatically added as soon as the ILIAS course is online). 7. Then select "online" so that the course becomes visible to students.

Homepages

All teaching assistants and lecturers are free to create a webpage for their own course. This could be either internal to the institute (please report to the system administrators), or elsewhere.

Graded assessments (Prüfungsleistungen) are partial assessments within the degree programme and are therefore subject to specific legal requirements, which are largely regulated in the examination regulations of the respective degree programme. Graded assessments must be registered in advance and may only be retaken a limited number of times (usually once or twice). Examinations are generally graded, and the grade contributes to the final grade. A distinction is made between the following types of assessment:

  • Written assessments: written examinations (supervised written tests) and written assignments
  • Oral assessments: oral examinations (examination interviews) and oral presentations
  • Practical assessments: e.g. carrying out experiments or computer simulations.

Coursework (Studienleistungen) is individual written, oral or practical pieces of work completed by the student, usually in connection with courses; they may also consist of regular attendance at a course, for which, however, no ECTS credits are awarded on their own. If an oral academic achievement is to be completed in the form of an oral examination, the duration shall be at least 10 and at most 30 minutes per candidate. If a written academic achievement is to be completed in the form of a written examination, the duration shall be at least 60 and at most 240 minutes. As a rule, coursework may be retaken as often as required (exception: the written examinations for Analysis I and Linear Algebra I); it is either ungraded or does not contribute to the final grade.

Whether a task is considered coursework or graded assessment depends not on the type of work itself, but on which module of which degree programme it is part of. In particular, coursework can certainly include "examinations" in the common sense; for example, a written exam for a lecture might be an exam for some students and coursework for others.

The following cases occur:

  • A module is completed only by an examination.
  • A module is completed solely through coursework.
  • A module is completed through an examination and additional coursework. (Example: regular seminar attendance as coursework, seminar presentation as examination.)
  • A module is completed solely through an examination; however, certain coursework must be completed as a prerequisite for examination admission. (This is only permitted in exceptional cases, which must be regulated in the examination regulations. Apart from these, only the oral examinations in Analysis II and Linear Algebra II have admission requirements in the mathematics degree programmes.)

Which case applies and which specific coursework and examinations are required is defined in the examination regulations or the module handbook. An overview of all examination regulations and module handbooks for the various degree programmes can be found here.

Scheduling

The first exam must take place in the same semester as the course (i.e., by March 31st in the winter semester or by September 30th in the summer semester). The resit exam takes place in the following semester, but no earlier than four weeks after the Examinations Office has sent out notifications of failure for the first exam.

Link to the exam calendar: with currently scheduled dates and "blocked periods" (e.g., exam-free period in August; orientation internship for students of teacher education, etc.).

Please inform the Examinations Office of your exam dates, which will then enter them into the exam calendar.

Exam Duration

Minimum 60 minutes, maximum 180 minutes (as specified in our module handbooks!).

Room Booking

In HISinOne, create a new individual appointment (not a new group!) for the lecture/event, specifying the date and time, and submit a room request for the desired exam room. If multiple rooms are available, a separate appointment must be created for each room. Please enter "Exam" or "Retake Exam" in the appointment's comments field.

  • Room booking instructions (link to follow!)
  • Information on suitable lecture halls (coming soon)

Printing of Exams

This can be done by the university printing office with sufficient advance notice.

Registration Lists

Examiners can create registration lists for exams in the "Prüfer:in" role under the menu item "My Courses and Exams".

If the teaching assistant or the secretariat is to create the list on their behalf, the examiner must grant the person in question the necessary authorization for the examiner role in HISinOne (see instructions).

If you experience any problems with the lists, please inform the Examination Office or the programme coordinator.

Visibility of Grades

For mathematics grades (numbers beginning with 07LE23), the system is set so that the recorded grades are visible to students immediately after saving.

Exam Review

Reviewing an exam is advisable and should take place soon after grading. However, there are no specific regulations regarding this in the examination regulations. Students do have the right, however, to request access to their relevant examination documents from the examination office within six weeks of the notification of the grades for coursework and course-related assessments.

Based on more general regulations, the following applies to exam review:

  • Students may not alter the exam and may not be left unsupervised with their exam.
  • Students may not view the exam results and exams of others without the consent of those involved. Exam review by others is only permitted with written authorization (keep the authorization for safekeeping!).
  • Copying or photographing one's own exam (under supervision) may be permitted, but is not mandatory.

Apart from obvious errors (e.g., uncorrected task, incorrect point addition, incorrect grade for the score), it has proven practical for students to record complaints about the grading in writing (this can be done on prepared slips of paper), so that one does not have to engage in "bargaining over points" during the exam.

Studiengang Modul Dauer Bemerkung
BSc / 2-Hf-B / Erweiterungsmaster Analysis
Lineare Algebra
30 Minuten bei Analysis I–III auch etwas länger
MEd / Erweiterungsmaster Mathematische Vertiefung
Wissenschaftliches Arbeiten
30 Minuten
MSc Reine Mathematik
Angewandte Mathematik
Mathematik
30 Minuten
Vertiefungsmodul 45 Minuten

  • Beisitzer*in

General Information

Oral assessments, according to the examination regulations, are either oral examinations or oral presentations. Oral assessments may only be conducted after prior registration and by authorized examiners (see below). If you have not received a record sheet from the examination office, the assessment may only take place after consultation with the examination office!

Examination Duration

  • Oral examinations generally last about 30 minutes, and about 45 minutes in the advanced module of the M.Sc. Mathematics programme. The duration should be adhered to as closely as possible, i.e., not necessarily down to the minute, but neither substantially shortened nor exceeded.
  • Seminar presentations last up to 90 minutes.

Duration

There are no specifications in the general examination regulations regarding the duration of seminar presentations (referred to as oral presentations). The following is typical:

Programme of Study Module Duration Remarks
BSc / dual major bachelor / M.Ed. Additional Subject Introductory student seminar 45 to 90 minutes typical duration at the institute
BSc / MSc Advanced student seminar (A/B) 90 minutes specified in the M.Sc. examination regulations

There are no specifications regarding the duration of the Master's thesis presentation.

Assessor

  • In oral examinations with only one examiner, an assessor must be present. The assessor must be knowledgeable and possess at least the qualification level of the course of study being examined. Assessors who are not employed in the public sector must be sworn to secrecy beforehand by the chair of the examination board. The assessor does not examine the candidate but keeps a record and attests to the proper conduct of the examination. The grade is determined by the examiner but discussed with the assessor beforehand.
  • In (introductory) student seminars, an assessor is not required due to the presence of other participants.

Documents

Procedure and Record

  • Verification of identity (if not personally known)
  • Information regarding fitness to take the exam (illness cannot be claimed retroactively)
  • The record must contain all essential information, in particular:
    • Which exam?
    • Date, start and end of the exam
    • Names of the candidate, examiner, and, if applicable, assessor
    • Result and signatures of the examiner and, if applicable, assessor
    • Any disruptions or interruptions
    • Topics of the oral exam/student seminar presentation, but not a verbatim transcript of the questions and answers or the presentation itself
  • The result of an oral exam will be announced to the candidate afterward. Grades for student seminar presentations may also be determined at the end of the event.
  • The record sheets are submitted to the examination office.

Examination Authorization

The following are authorized to conduct examinations "a priori" according to the examination regulations:

  • (Junior, Visiting, Honorary) Professors and Professors Emeritus

  • Private Lecturers and Adjunct Professors

The following are authorized to conduct examinations for their courses:

🔗

Those authorised to conduct examinations ‘a priori’** (in accordance with examination regulations) are

  • University teaching staff (i.e. professors, junior professors and university lecturers as defined by the LHG)
  • Private lecturers and adjunct professors
  • Retired professors who have been relieved of their teaching duties
  • Lecturers, visiting professors and honorary professors

at both the University of Freiburg and the EUCOR universities.

(Professors who leave the university lose their authority to examine. The Doctoral Regulations explicitly stipulate transition periods for the ‘completion of supervision’ of dissertations already in progress. There are no comparable regulations for Bachelor’s or Master’s theses; however, it should be agreed that registered theses may be supervised to completion. Theses not yet registered must be handled in accordance with the provisions of the Examination Regulations regarding external supervision.)

Academic staff (including those at the PH Freiburg and the EUCOR universities) may be granted the authority to examine upon application to the Rector’s Office. The application must be submitted via the Dean’s Office and will first be discussed at the lecturers’ meeting and subsequently at the Faculty Council. It is important that the application is sent to the Dean’s Office by the supervising professor.

The right to supervise Bachelor’s and Master’s theses must be applied for separately!

To minimize disruption to teaching, conferences and workshops should ideally be scheduled outside of the lecture period (including the Pentecost break and long weekends). Conference dates should generally be discussed at the faculty meeting six months in advance and communicated to the dean's office (as scheduling coordination is necessary, particularly regarding room availability).

A group can be created in the event "07LE23X-09 Mathematik-Tagungen" for room bookings; please contact the dean's office, the dean's office for studies, or the programme coordinator for this. The organizers can then request rooms directly in HISinOne.

If the faculty meeting has approved a conference, it takes precedence over scheduled classes. However, the organizing department is responsible for arranging suitable alternative rooms (in consultation with the affected instructors). These alternative rooms cannot be booked directly but must be reported to the dean's office, at the moment Carolin Mann (or the person responsible for room bookings) for reservation.

Approximately two weeks before the conference, the secretariat of the organizing department should remind the lecturers affected by room changes so that they can inform the students.

On the ground floor, there is a screen displaying the latest news for students. To have your own news items displayed on the monitor screen, please contact Carolin Mann by email.

If the monitor on the ground floor has crashed: Get the black remote control from the faculty room and turn it on and off. If that doesn't help: Ask the IT system administration.
